ACADEMY POLICIES

Enrollment Commitment

Students commit to a full semester of lessons upon enrollment. Students who start lessons after a semester has already begun commit to lessons through the end of that semester.  The lesson day and time (ex. Monday 3:30-4:00) are decided upon and agreed to by the student upon enrollment.  Each student’s lesson time will remain the same for the entire semester.  No scheduling change is allowed once the semester has begun.

 

Withdrawal Policy

  • New Students: Students who are new to BAMA are allowed to withdraw within the first 4-week (30 day) trial period.  BAMA will fully refund the remaining tuition if a withdrawal is made with written notice within 30 days of the first lesson. After the 30-day trial period passes, no tuition refunds will be given. This policy does not apply to students who are currently or have previously been enrolled at BAMA.

  • Current Students: For students who are currently or have previously been enrolled at BAMA, withdrawal from lessons is allowed only after completion of a semester. Mid-semester withdrawals are not entitled to a credit or refund of tuition.

  • Spring Semester withdrawals: If a student wishes to withdraw from lessons upon completion of the Fall Semester, BAMA must be notified no later than the Spring Semester Withdrawal Date deadline marked on the BAMA Calendar.

Cancelation & Makeup Policy (for Fall/Spring Semesters only. Summer Semester has a separate policy)

As a courtesy, BAMA offers up to two makeup lessons per semester if the below procedures are followed. Students starting on or after the halfway point of a semester will be eligible for ONE makeup lesson. In order to retain top quality faculty, BAMA must strictly adhere to this policy. Please respect the commitment our teachers have made to you and to our academy. 

  • All cancelations must be made at least 1 full day (24 hours) in advance in order to be eligible for a makeup. Same-day cancelations will not be eligible for a makeup. While we understand that sickness and emergencies come up, teachers have set aside a specific time slot solely for your use only, whether it is utilized or not. In the event of a cancelation or missed lesson, teachers cannot get this time back. 

  • BAMA must be notified of cancelations via phone or email: 201-940-2200 or hello@bergenacademy.comAll communications relating to cancelations must be directed ONLY to this phone number or email address. Please do NOT contact the teacher. Cancelation messages received after studio closing time will not be received by the Front Desk until the following studio opening time. 

  • Scheduled makeup lessons missed or canceled by student will not be rescheduled, and will be considered forfeited. 

  • All lessons canceled by BAMA due to teacher absence or unscheduled school closing, such as weather emergency, will be rescheduled if possible, and will not count against the two makeup lesson allotment.

  • All makeup lessons must be completed before the end of the current semester. If you are aware of a cancelation near the end of the semester, please contact BAMA to coordinate an advanced makeup lesson.  Cancelations made in the final week of a semester will not be eligible for a makeup. Makeup lessons will be scheduled on designated "Makeup Days" and will be conducted by one of our faculty (it may not be your regularly scheduled teacher).  Any makeup lesson scheduled outside of these "Makeup Days" will be out of the discretion and courtesy of the teacher, but is in no way an obligation of the teacher. Any makeup lessons not completed before the end of a semester will NOT be eligible for a refund or credit. As a reminder, makeup lessons are a courtesy extended to our students.

Tuition Payment: Tuition and fees are due at the beginning of each semester before the first lesson.  A $30 late fee will be applied if tuition is not paid by the second lesson. Please note that due to high demand of our teachers, lesson time(s) cannot be reserved without tuition payment or deposit.

 

Registration Fee: A non-refundable fee of $40 per student is required yearly at the time of registration.

 

Recital Fee: A fee of $40 per student is collected at the beginning of each spring semester with tuition. The $40 recital fee will be refunded at the end of the semester if the student chooses not participate in the recital and notifies us by the Recital Withdrawal Deadline marked on the BAMA Calendar. There will be no refunds of the recital fee after this date.

 

Books/Materials: Books and lesson materials are not included in the tuition, but are available for purchase at BAMA.

 

Registration Deposit: A non-refundable deposit of $150 is required for each reserved lesson spot upon registration. There are NO REFUNDS for this deposit. 

 

Returned Check Fee: Returned checks will be charged a $30.00 returned check fee.

Child Welfare: BAMA does not assume responsibility of student safety/security when parents choose to leave them unattended at the school. Although we strive to create the safest environment possible, teachers and office staff cannot supervise children except during their scheduled lesson time.  Parents with students under the age of 5 are asked to remain in the building during lessons.  Students are not to be left unattended at the school before or after their lesson. If dropping off your child, please be prompt with pickup.

 

Injuries: Parents, legal guardians of minor students, and adult students waive the right to any legal action for any injury sustained on school property resulting from normal lesson activity or any other activity conducted by the students before, during, or after lesson time.

 

Photo Release: By enrolling your child, you grant permission for photographs and/or videos of your child to be used in brochures, web sites, posters, advertisements and other promotional materials the school creates, unless you notify us otherwise. You also grant permission for BAMA to copyright such photographs and videos in its name.
